Function: This exempt management position reports to the Owner/President with the primary responsibility to manage all functions of the corporate credit program. The Credit Manager is a member of the Management Committee and is expected to attend all MCM meetings, giving appropriate credit updates and input on all Company-related management decisions made by the Committee.
Essential Responsibilities and Duties: Includes the following. Other duties may be assigned.
Credit:
Authors and maintains company credit policies appropriate to and in concert with the Owner/President’s business philosophy.
Processes and approves or denies credit to company accounts.
Maintains existing customer account files, updating as needed; sets-up new customer account records and files.
Performs account information maintenance.
Posts all payments received at the corporate office as well as Chase bank lock box deposits.
Researches and resolves customer billing and invoicing inquiries.
Researches and resolves internal queries regarding credit policy and procedure.
Researches and resolves customer payment inquiries.
Corrects posting errors for the Hardwood Industries.
Research customer payments when not accompanied by accurate or detailed remittance advice slips.
Determines account write-offs per IRS guidelines.
Prepares and sends A/R information to JP Morgan Chase Bank.
Maintains and develops relationships with industry competitors and vendor credit departments to assist in credit decisions for the mutual benefit of the industry.
Maintains and develops relationships with all Hardwood Industries account managers and customer service personnel.
Resolves credit and cash problems and coordinates situations with the Owner/President.
Records and recaps monthly credit statistics at the monthly management team meeting.
Meets monthly at the end of each month with the owner/president to review month end customer account status of accounts with invoices outstanding for over 60 days, over credit limit account list, daily and monthly sales and collection projection work sheet, suspended accounts list by account manager, IRS allowable A/R write off report and 90,000 special collection report.
Manage Euler Hermes/Allianz credit insurance to insure customers with credit limits larger than $50,000. Report monthly insured accounts with invoices older than 60 days to Euler Hermes.
Collections:
Oversees collections of customer accounts receivables by account managers and customer service personnel
Using data from past due aging report, over credit limit report, suspended account list and feedback from account managers, determine actions to be taken to facilitate collection of receivables from accounts operating outside our company credit policies.
Approves production and shipment of orders for critical accounts based upon customer’s credit status.
Communicates collection decisions with all sales personnel to collect past due accounts.
Determines accounts to be slated for collection from outside parties including the use of attorneys and collection agencies.
Manage collection of all accounts being collected by outside parties.
Works directly with customers to resolve delinquencies on 90 day and older invoices.
Process all terms code 4, bankcard transactions associated with daily deliveries.
Process all terms code 2, COD transactions paid by cash, credit card or company check.
Process and maintain reoccurring credit card information for ROA payments.
Process customer credit card payments through phone or e-mail communications.
Tracks collections daily, monthly, and yearly.
Bank Functions:
Makes daily electronic bank deposits.
Reconciles cash payments and makes cash deposits at our bank when appropriate.
Maintains and document cash deposit procedures for all company locations.
Month and Year end Epicor Closing Procedures:
Runs Epicor month end and year-end programs to finalize computer files regardless of the day of the week including holidays and weekends.
Runs monthly A/R reports and month end customer statements which includes assessing and deleting finance charges per company credit policy, folding, stuffing into envelopes, applying postage and mailing customer statements.
Prepares reports for archive storage.
EPICOR Online Customer Portal
Maintain online customer portal data base
Post all customer payments made thru the portal site
Trouble shoot all customer inquiries related to portal site
Telecommunication Duties
Maintain relationships with telecommunication vendors to maintain equipment and software functionality.
Provide employee assistance to maintain desktop telephone units.
Maintain company master telephone list as employee changes occur.
